Version 1.4 · effective September 26, 2026
The short version
This summary helps you read the agreement; the full text below is what applies.
This Venue Partner Agreement (“Agreement”) is between Jason Bernados, who operates Athlos (“Athlos”, “we”), and the person who registers a venue (“you”, the “Venue Partner”). It adds to our Terms of Service and Privacy Policy, which also apply. If they conflict on anything about running a venue, this Agreement wins.
You confirm that you own or manage the venue, or are authorized by its owner to register it and accept this Agreement on its behalf. We record the version you accepted and when.
Everything done with your venue account is treated as done by you, whoever actually did it: your staff, a relative, a former employee, or anyone who got your password or an unlocked phone. That includes confirming, declining or cancelling bookings, changing prices, hours and GCash details, marking refunds sent, and messages sent to players.
Athlos is not responsible for loss or harm caused by anyone using your account, including money sent to a wrong or changed GCash number, bookings cancelled by staff, or messages they send. Disputes between you and your staff are yours to resolve.
Refunds are decided by fixed rules, applied by the system, the same for every venue:
When a refund is due you must send it to the player's GCash and mark it sent with the reference within 48 hours. If you miss the deadline, your venue automatically stops receiving app bookings until the refund is marked sent. If a payment never reached your GCash, say so in the portal; the player can dispute it with their receipt, and an Athlos admin decides from the evidence. A refund you marked sent closes automatically after 5 days unless the player disputes it. Marking a refund sent when you haven't sent it is fraud and ends this Agreement.
Players can message your venue; messages arrive in your portal Inbox. Answer politely, keep to venue business, and don't use player contact details for marketing without their consent. Our rules of conduct apply to everything sent from your account.
Players rate your venue after each booking they played (stars, tags such as “Fast replies” or “Slow to confirm”, and a comment), and your public track record shows your bookings, declines, refunds and how fast you confirm receipts and reply, computed from real activity. You rate players the same way; other venues see your stars and tags for a player, never your comment. Rate honestly: you must not post, buy or arrange fake ratings, rate to retaliate, or pressure players over theirs. We may remove ratings that break our rules; we don't remove honest negative ones.
You see players' usernames, booking details, receipts, messages, booker record and mobile number only to run their bookings. Use the number only to contact the player about that booking (no marketing, no adding to group chats, no sharing); keep all of it confidential, don't copy it out of Athlos except as needed for a booking, and follow the Data Privacy Act of 2012. Receipts are shown to you through time-limited links, and a number stops showing 7 days after play, for that reason.
You can stop taking bookings any time (Settings → Taking bookings) or ask us to remove your venue account; bookings already confirmed must still be honored or cancelled with a full refund. We may pause or end your account for overdue refunds, unsent booking fees, fake receipts or ratings, repeated no-shows by the venue, or breaking this Agreement or our Terms. Money owed on either side survives the end of this Agreement.
We may update this Agreement. For a material change we notify you and ask you to accept the new version before the portal opens again. If you don't accept, you can stop using the portal; confirmed bookings still follow the version you accepted.
