Organizer Agreement

The short version

You run your events: venue, schedule, format, prizes and player safety are your responsibility.
Entry fees go straight to you. Refunds you promise or owe players are yours to pay. Athlos never holds that money.
Confirm only true results. Rated events move real ratings; faking or fixing them ends your organizer status.
Everything done with your account, by you or anyone you let use it, is your responsibility.

1.Who this agreement is between

This Organizer Agreement (“Agreement”) is between Jason Bernados, who operates Athlos (“Athlos”, “we”), and you, the person applying to organize events (“Organizer”). It adds to our Terms of Service and Privacy Policy. If they conflict on anything about running events, this Agreement wins. We record the version you accepted and when.

2.Verification and your organizer status

The details you give when applying must be true. We may ask for more (ID, links to past events) before or after approving you.
Verification lets you run public events. It is a permission, not an endorsement of you or your events by Athlos. Games in your events are rated only when a certified Athlos referee officiates them.
We may pause or remove your organizer status as described under Suspension.

3.Your account and your team

Everything done with your account is treated as done by you, including by tournament managers you add and anyone who uses your login. Add only people you trust, remove them when they leave, and keep your password private. Athlos is not responsible for what your team does with the access you give them.

4.Running your events

Describe each event accurately: date, venue, format, divisions, fees, prizes and rules. Keep them updated.
You are responsible for the venue booking, permits, equipment, staff, scheduling and running the event on the day.
If you cancel or materially change an event, tell registered players promptly in the app.
Follow the law, including rules on raffles and prizes. Don't use Athlos to organize betting on matches.

5.Entry fees, prizes and refunds

Players pay entry fees directly to you (for example to your GCash). Athlos does not collect, hold or guarantee that money.
State your refund policy in the event details. You must refund players as your policy says, and in full if you cancel the event. Refund disputes about your events are between you and the player, but we may suspend you if you don't pay refunds you owe.
You are responsible for delivering the prizes you advertise, and for your own taxes, receipts and permits.

6.Results and rating integrity

You and your tournament managers confirm results. Confirm only scores that were actually played.
A result counts toward Athlos Ratings only if a certified Athlos referee on your event recorded or confirmed it. Without one, your event runs the same way but its games are casual.
Never enter, confirm or arrange fake, fixed or thrown matches, or help anyone farm or protect a rating. Athlos runs integrity checks and may reverse results, remove ratings, ban accounts and end your organizer status.
Correct genuine mistakes quickly through the dispute tools.

7.Player safety and minors

Pickleball is a physical sport and you are responsible for reasonable safety at your events. If minors take part, follow the law and our Terms on minors: get guardian consent where required and never message a minor for anything but event logistics.

8.Player data

You can see registered players' details only to run your events. Keep them confidential, use them only for the event, and follow the Data Privacy Act of 2012. Don't export or reuse player contact details for marketing without their consent.

9.What Athlos charges

Verified organizers currently pay Athlos nothing to run events. Club tournaments run by a club's owner and admins need Club Pro on that club; Founding Clubs get it free for Season 1. If we introduce or change fees for organizers, we will tell you at least 30 days before and ask you to accept an updated Agreement.

10.Liability and indemnity

Athlos provides the tournament software “as is”. We work to keep it available but don't promise it will never be down or error-free; keep your own backup of anything you rely on (you can export results).
To the fullest extent Philippine law allows, Athlos is not liable for your events, injuries at them, prizes, fees or refunds, or for lost profits or indirect losses.
You agree to cover Athlos's reasonable losses and costs (including legal fees) from claims by players or others arising from your events, your team, anyone using your account, money you collect or owe, or your breach of this Agreement, except to the extent we caused them.
Nothing here limits liability that the law does not allow to be limited, such as for fraud or gross negligence.

11.Suspension and ending

You can stop organizing any time; events already open must still be run or cancelled with full refunds. We may suspend or end your organizer status for fake or fixed results, unpaid refunds, misleading events, abuse of players or staff, or breaking this Agreement or our Terms. Obligations about money owed and liability survive the end of this Agreement.

12.Changes

We may update this Agreement. For a material change we notify you and ask you to accept the new version before your portal opens again. If you don't accept, you can stop organizing; events already open follow the version you accepted.
